We have an exciting opportunity for an Office Administrator to join our Essington Distribution Centre at Edinburgh.

This position also involves engaging with internal and external stakeholders, so excellent communication and interpersonal skills are a must. To excel in this role, you should possess the ability to influence others, build trust, and remain flexible, proactive, resourceful, and efficient.

We are offering a full-time role with over a Monday to Friday roster. Normal working hours will be 9-5pm but can be flexible for the right candidate

Daily Task:

  • Excellent communication skills, providing a high standard of face-to-face communications for site visitors and site personnel.
  • Answering and directing incoming calls and emails from our internal personnel and vendors.
  • Co-ordinating and scheduling site visits and preparing PPE for visitors as required.
  • Overseeing preferred contractor Site Inductions and database.
  • Co-ordinating and scheduling site maintenance contractors.
  • Maintaining and ordering office supplies.
  • Raising of Purchase Orders for site works, equipment and supplies.
  • Document management including archiving, filing, and scanning records.
  • Assisting QA during and in the lead-up to site audits.
  • Assisting staff with Payroll enquiries.
  • Participation in and recording of site based meetings.
  • Enthusiasm and willingness to learn with a “can do” attitude.
  • Ability to multitask to a high level with a systematic & analytical approach to tasks
  • Provide administrative services including word processing, spreadsheet preparation, database operations, and general support for Management

You will bring to this role:

  • Proven ability to work effectively within a team environment
  • Being self-accountable for achieving expected outcomes
  • Strong organizational skills with the ability to prioritize and the ability to multi-task
  • Proficient with Microsoft Office applications and in particular intermediate to advanced Excel skills.
  • Previous reception and/or administration experience preferable.
  • Excellent attention to detail.
  • The successful applicant must have a driver’s license and their own vehicle.
